Duties and Responsibilities:


 General supervision effectively, the large multinationals workforce inside the Camp premises with total residents of 6,000 including general and catering services such as; housekeeping/janitorial services, laundry services, mess hall operation, recreation and repair/maintenance services. Direct, control and distribute work/task among subordinates concerning all operation and activities within the camp. Ensuring that the catering and housekeeping activities services are provided as per agreed contracts and standards. It includes implementation and adherence to the fire and safety measures within the camp in accordance with security and fire department. Ensuring that all accommodation facilities are well maintained and meet all standards to the extent possible.
 Manages and organizes the entire Camp Operation from time to time, down the line support services in camp/sites in accordance with the duly established Standard Operating Procedures (SOP). Plan and direct how line support services can be made efficient and responsive to the needs of company clients and employees including the wellbeing of every residents billeted to their respective accommodation.
 Delegates and oversees the various activities that are assigned to all room stewards or housekeepers. Assign workers their duties and inspects work for conformance to prescribed standards of cleanliness. Investigates complaints regarding housekeeping service and equipment, and takes corrective action.
Conduct tool box meeting every morning before they proceed to their area of responsibility concerning new issues transpired within the vicinity of the camp, including safety measures. Obtains list of rooms to be cleaned immediately and list of prospective check-outs or discharges to prepare work assignments. Coordinates work activities among departments. Conducts orientation training to explain policies, work procedures, and to demonstrate use and maintenance of equipment. Inventories stock to ensure adequate supplies. Evaluates records to forecast department personnel requirements. Makes recommendations to improve service and ensure more efficient operation.
Prepares reports concerning room occupancy, Performs cleaning duties in cases of emergency or staff shortage.
Examines building to determine need for repairs or replacement of furniture or equipment, and makes recommendations to management. Attends staff meetings to discuss company policies and residents/guests complaints. Issues supplies and equipment to workers. Establishes standards and procedures for work of housekeeping staff. Advises manager, desk clerk, or admitting personnel of rooms ready for occupancy. Records data regarding work assignments, personnel actions, and time cards, and prepares periodic reports.
 Check and monitor the entire mess hall operation from breakfast, lunch and dinner whether they comply and follow the catering contractor concerning SOP which is Hazard Analysis Critical Control Point (HACCP). Conduct an ocular inspection and inventory to determine availability of food inside the storage such as; perishable food and non-food. Check regularly and maintain hygienic conditions in storage rooms, kitchen and the entire dining facility. Ensure that minimum stock level of food and non-food items are properly maintained for one month supply. Make report in case of goods are subject for rejection. Report any issues that may arise to admin manager right away, in terms of food supplies as well as replacement of stocks and other required goods.
 Inspect and monitor frequently, the menu cycle to be prepared by the catering services by using food thermometer. Knowledgeable to resolve any issues or grievances that may occurred coming from mess hall users, pertaining to mess hall operation like; food shortage, spoiled food, less quantity of food to serve and etc. See to it that three (3) meals a day are properly served by the catering contractor on time in accordance with the prearranged and approved menu based on the contract clause. Propose/suggests menu or justify changes to existing menus in the committee meeting. Oversees and monitor regularly, the catering staffs/crews that are designated in the kitchen as well as conduct an inventory of F/B stocks.
 Supervises and conduct frequent inspection in the entire vicinity of the camp facilities and mess hall more particularly proper hygiene and cleanliness are always observed in accordance with the rules and regulation. High standard of cleanliness should be implemented and observed daily.
 Implement and initiates relevant company policies, guidelines, inter-office memoranda, rules and regulations to the grass roots without fear and favor but in the most courteous and professional manner. Prepares correspondence or letter and send thru email to several departments if necessary as well as to the main contractor.
 Maintain and monitor 201 file of every workforce designated at camp i.e. expiration of an employment contract, passport expiration, visa expiration, gate pass/desert pass expiration and badge expiration. Prepares monthly work schedule rotation and delegate properly according to their designated task. Prepare timesheets and check daily attendance of all workers assigned at camp including evaluation report of every worker. Updates list of manpower daily into data base with corresponding categories and individual badge numbers.
 Constant and directly reporting to the Welfare/Admin. Manager concerning the status or head counts of manpower statistics billeted at camp i.e. newly arrivals or mobilization of workers monitoring or person on board (POB), incoming and outgoing of employees and occupancy report.
 Conduct daily random and ocular inspection to the worker’s and staff’s accommodation and formulate daily report if anybody who are absent, sick residents and rush any sick employees/workers to the nearest clinic at any time of day or night, if necessary. Responsible and manage to control the duplicate keys of all residents and facilities.
 In-charge to request various office supplies or stationery to be utilized in the camp office including material request for the camp. Cost control of materials to be purchased for camp. Conduct inventory of all fixed assets and non fixed assets of the camp as required and ordered by the camp management.
 Assists and accommodates newly arrival employees pertaining to their allocation and respective classification of room assignment. Arrange and guide for safety induction both Daewoo and CJJV training as well as give instruction and guidelines for identification of all facilities in the camp premises.
 Carried out daily administrative duties at camp such as; daily movement report of check-in and check-out employees, daily absenteeism report, worker’s mess hall daily report or daily meal sheet, coordinates request for lodging of newly arrivals and request for check-out employees for final exit and daily laundry/cleaning checklist Updates data base of manpower listing of Senior Staffs, Junior Staffs and Workers/Labour from the camp master file. Ensure that all workers are allocated in accurate classification of room according to their categories. Sending emails to main contractors concerning request for lodging 3 days prior the arrival schedule of new workers at site.
 Responsible in forecasting monthly consumables supplies for all residents at camp i.e. bath soap, tooth paste, shampoo and detergent soap. Prepares and approved any materials requisition needed for camp facilities that are requested by the camp maintenance team.
 Attend subcontractor’s coordination meeting together with Exxon Mobil regarding mess hall issues at camp that it requires to be addressed in the meeting. Suggests various menus for the benefit of all Filipino workers and disseminate all grievances coming from workers.
 Manage all company facilities and properties located within the camp premises and provide accommodations, beddings and other items/materials commonly issued to all new employees/workers in camps/sites. All rooms are properly sanitized and ready for occupancy for new arrivals.
 Conduct periodic inspection on all company facilities and equipment within the camp premises more particularly preventive maintenance of a/c units in each block. Ensure that the pest control shall be conducted monthly to all rooms and facilities within the camp premises. Maintain the water supply consumption of all residents, including the disposal of sewage water and maintain the records keeping every day.
 Submit an updated monthly manpower list/room status report and office equipment/machine and furniture inventory to the Head Office. To submit and report on any untoward incident/accident that happened within the camp premises and recommends appropriate remedies to avoid recurrence.
 Assists/supervises and conduct briefings to all new arrival food handlers/food attendants designated in the mess hall or canteen regarding their duties and responsibilities, safety and security, company policies, rules and regulations and most especially proper hygiene. Perform such other functions as may be assigned and required by the camp welfare manager from time to time.
 Computer literate and frequently utilizing an office application which are MS Word, Excel, Power Point and PDF application.
